What is Event Site Map Export?

Event site map export is the ability to convert your digital site plan into multiple formats (PDF, PNG, JPG) for printing, sharing, and documentation. You export once and use the same map for crew briefings, client presentations, permit applications, vendor coordination, and on-site reference - maintaining consistent professional branding across all outputs. Event companies use map export to eliminate expensive CAD services, reduce printing costs, and ensure everyone from office staff to on-site crews has access to current accurate site plans in the format they need.

For festival organizers, corporate event companies, and outdoor event coordinators, site maps must serve multiple purposes - from high-level client presentations to detailed crew instructions. Traditional approaches require either expensive professional designers to create presentation-quality maps, or settling for unprofessional screenshots and hand-drawn plans. Neither scales well when managing multiple events or making frequent changes.

According to event industry research, site planning and coordination errors account for 20-30% of setup delays and cost festival organizers an average of £2,000-5,000 per event in rushed solutions and equipment repositioning. Most errors stem from crews working with outdated, unclear, or inaccessible site plans.

The export functionality in GoodEvent Maps was built specifically to address event industry needs - not just exporting images, but creating professional documentation that serves legal requirements (permits, safety plans), client presentations, vendor coordination, and practical on-site use simultaneously.

Why Screenshots and Generic Export Tools Fail Event Businesses

Event site plans need to work in multiple contexts - permit applications requiring specific formatting, large format prints for crew areas, mobile-friendly files for on-site access, and professional presentations for clients. Generic export options can\'t handle this variety:

Screenshots look unprofessional and lose detail: You spend hours creating detailed site map, then screenshot it to share. Image is pixelated when printed. Text unreadable at small sizes. No branding. No scale legend. Council rejects permit application because map doesn\'t meet standards. Client sees screenshot in presentation and questions your professionalism. You\'ve created great map but ruined it with poor export.

CAD exports require specialist software: Professional event companies often hire CAD designers to create site plans at £500-2000 per event. Designer needs your sketch, creates professional drawing, sends PDF. You want changes? Email designer, wait days, pay revision fees. Final cost: thousands spent on something you could create yourself if you had proper export tools. According to event production company surveys, design and documentation costs average 8-12% of total event budget - most of which is creating and revising site plans.

Large format printing is expensive and inflexible: You need site plan printed large for crew briefing area. Drive to print shop with file. They charge £80-150 for large format print. Next day you make changes to plan. Previous print is waste. Need new print. Another £80-150. By the time event happens, you\'ve spent £400+ on printing various versions. Plus time driving to print shop, waiting for prints, managing physical documents.

File sizes too large for easy sharing: Export high-resolution image so it\'s readable when printed. File is 25MB. Email bounces - too large. Try sending via file sharing service. Client doesn\'t understand how to download. Crew on 4G connection can\'t download it on-site. You compress image. Now it\'s blurry when zoomed. Can\'t win. Need lightweight sharing method that still maintains quality.

No measurement scales on exported images: You export map showing where everything goes. Looks great. Send to council for permit approval. They reject it because no measurement scale showing dimensions. You need to add scale manually in image editing software. Export again. Send again. Weeks of permit delays because export didn\'t include basic requirements. Many permit authorities require site plans with specific elements - scale legends, north arrows, access routes marked - that generic export tools don\'t provide.

Printed maps can\'t be zoomed: Print beautiful site map. Crew takes it on-site. In muddy field, they need to see specific detail - exact spacing between toilets and catering area. Printed map shows overview but they can\'t zoom to see detail. They guess. Get it wrong. Have to reposition equipment. Wasted hours. Digital maps on phones allow zooming - combining benefits of printouts with interactive detail access.

Changes require re-exporting everything: Client approves site plan. You export and send to 10 vendors, crew team, venue, and council. Next day client wants to move stage location. You update map. Now you need to re-export PDF, PNG for presentation, JPG for social media, and re-send to everyone. Spend 2 hours doing exports and emails. With proper export system, update once and regenerate all formats in seconds.

No branding on generic exports: Your site map is professional but exported file has no logo, no company details, no contact information. When client forwards it to venue coordinator, it\'s just anonymous map. Venue coordinator doesn\'t know who created it or how to contact you with questions. Missed opportunity to reinforce your brand. Professional exports should include your branding automatically.

These problems compound when managing multiple events simultaneously. During peak festival season, you might be exporting maps for 5-10 events per month. Inefficient export process wastes weeks of time annually.

How GoodEvent Maps Export Works

Export functionality is built directly into map creation workflow. No separate software. No manual formatting. Create map, export in any format, use immediately:

Step 1: Create or open your site map (or use existing map)
Build event site map in GoodEvent Maps with all equipment, zones, and infrastructure placed. Add labels, measurements, and any notes needed. Map is your working document - update it anytime throughout planning process.

Step 2: Click Export button (located in map toolbar)
Export button always visible while working on map. One click opens export options menu. Choose what you need - PDF for printing, PNG for presentations, shareable link for digital access, or QR code for mobile viewing. All options available every time you export.

Step 3: Select export format based on use case (5 seconds)
PDF: For printing, permits, formal documentation requiring scale legends and measurements. High-resolution suitable for large format printing or standard office printing. Includes your branding automatically.

PNG: For presentations, websites, social media posts. Transparent background available if needed. Optimized file size for web use while maintaining quality.

JPG: Universal format for emails and general sharing. Smaller file sizes than PNG. Works everywhere.

Interactive link: Digital map viewable in browser. Crew accesses on phones. Can zoom, pan, and explore. Always shows current version - when you update map, link shows updates automatically without re-sharing.

QR code: Generate scannable code that opens map instantly on mobile devices. Perfect for crew briefing materials, site signage, and printed materials where you want instant digital access.

Step 4: Customize export settings if needed (optional - 30 seconds)
Choose what appears on export: full map or specific zones only (useful for large events where different crews need different sections). Include or exclude specific layers (show public areas to clients, show infrastructure to crew). Add or remove measurement scales, legends, north arrows. Include custom notes or instructions in exported version. Your branding (logo, colors, company name) applies automatically from account settings.

Step 5: Generate export file (automatic - 10-30 seconds)
System processes your map and generates professional export in chosen format. PDFs include vector graphics for perfect quality at any print size. Images rendered at high resolution. Scale legends and measurements calculated automatically. Branding positioned consistently. File generated and ready to download or share.

Step 6: Download or share immediately
PDF/PNG/JPG: Download to your device. File ready to print, email, or upload to presentations. Filename includes map name and date for easy organization.

Interactive link: Copy link and share via email, WhatsApp, text, or any messaging platform. Anyone with link views current map in browser - no account needed, works on any device.

QR code: Download QR code image. Add to crew briefing documents, site signage, or printed materials. Anyone scanning code opens map instantly on their phone.

Step 7: Print on any printer (if using PDF)
PDF exports work perfectly on standard office printers (A4/Letter size) or large format printers (A0, A1, A2). Text remains readable at any print size because PDF uses vector graphics. Print as many copies as needed - no per-print costs beyond paper and ink. Print specific zones only to save paper if large event.

Step 8: Update and re-export as needed (seconds each time)
Client requests change to site layout. Update map in GoodEvent Maps. Click export again. Generate new PDF in 30 seconds. Previous exports don\'t need manually updating - interactive links automatically show current version. Only PDF/PNG/JPG downloads need re-sending if people need new version.

Total time from finished map to usable export: 30-60 seconds for PDF/PNG/JPG. Instant for shareable links. Compare to traditional process: sketching plan (30 mins), sending to designer (wait 3 days), receiving draft (review 1 hour), requesting changes (wait 2 days), final version (wait 1 day), sending to print shop (drive 30 mins), collecting prints (drive 30 mins), cost (£500-1500 designer + £150-400 printing). That\'s weeks and thousands vs minutes and free.

Map Export Capabilities That Save Time and Money

High-resolution PDF export: PDF files maintain perfect quality at any size - print on A4 office paper or A0 large format. Text stays sharp and readable. Lines remain crisp. Colors match screen exactly. Includes vector graphics meaning no pixelation or blurriness when zoomed or enlarged. Suitable for formal documentation, permit applications, client presentations, and crew reference. File size optimized - high quality without unnecessary bloating. Typically 1-3MB even for complex maps, making email sharing easy.

Automatic scale legends and measurements: Every PDF export includes scale legend showing measurements (metres or feet based on your preference). North arrow automatically positioned. Distance scale clearly marked. These elements meet regulatory requirements for permit applications and safety documentation. Manual addition of scales requires CAD skills - automatic inclusion saves hours and ensures accuracy. Scale calculations based on actual Google Maps distances, not estimated.

Branded professional output: Your company logo, colors, and contact details automatically included on all exports from settings configured once. Logo positioned consistently in corner. Company name in header or footer. Contact information available if needed. Creates professional presentation without manual branding of each export. When clients or vendors receive your map, it clearly identifies your company. Reinforces professionalism and brand consistency across all documentation.

Multiple image formats (PNG, JPG): PNG format ideal for presentations (PowerPoint, Keynote), websites, and digital displays. Supports transparency if needed. No compression artifacts. JPG format perfect for emails, general sharing, and social media posts. Smaller file sizes than PNG while maintaining visual quality. Universal compatibility - opens on any device without special software. Both formats available every export - choose based on specific use case.

Zone-specific exports: Large events often need different maps for different teams or purposes. Export only specific zones instead of entire site. Festival example: export main stage area only for stage crew, export vendor village only for food vendors, export camping area only for site management. Reduces clutter on printed maps. Each team sees only relevant information. Faster crew comprehension. Less confusion on-site. Links with GoodEvent Maps layer management for organizing complex sites.

Layer control in exports: Choose which map layers appear in export. Show infrastructure (power, water, emergency routes) to crew but hide from public-facing client presentation. Show vendor pitches with numbers to vendors but remove pricing and internal notes from client version. Create multiple export versions from single master map by toggling layers. Eliminates need to maintain separate maps for different audiences. Particularly valuable for festival site planning where internal and external documentation needs differ significantly.

Shareable interactive links: Generate link that opens live interactive map in web browser. Anyone with link views map - no GoodEvent account required, no software to download. Crew accesses on phones during setup. Vendors view their pitch location before event. Clients explore site layout when considering your proposal. Map is interactive - users can zoom, pan, measure distances themselves. Updates to map appear automatically in shared link without resharing new URL. Most powerful sharing method for on-site use.

QR code generation: Create QR code that opens map when scanned with phone camera. Include QR code on printed crew briefing sheets - they scan and view digital version on phones for zooming and detail viewing. Add QR code to site signage at entry points - vendors scan to see where their pitch is located. Print QR code on permits and safety documentation for quick access to full site plan. Bridges gap between physical printed materials and digital interactive access. Particularly useful for corporate outdoor events where multiple contractors need access.

Print-optimized formatting: PDF exports automatically formatted for standard paper sizes (A4, Letter, A3, Tabloid, A0, A1, A2). Choose size when exporting. Text scaled appropriately for chosen paper size - not too small to read on A4, not unnecessarily large on A0. Margins set correctly for binding if needed. Orientation (portrait/landscape) optimized based on map dimensions. Cuts and fold marks included for large format prints that need assembly. Eliminates manual formatting in separate software.

Batch export multiple maps: Managing multiple events? Export all site maps at once. Select maps for 5 different festivals. Export all as PDFs with consistent branding and formatting. Download as organized folder structure. Save hours compared to exporting individually. Particularly valuable for event production companies managing 10-20+ events simultaneously during peak season. Links with GoodEvent Business booking management for coordinating exports with event schedules.

Version stamping and change tracking: Exported PDFs automatically include export date and version number. Know which version you\'re looking at when you find printed copy 3 weeks later. Maintains change log showing what updates were made between versions. Essential for permit applications where authorities need to see revision history. Prevents confusion when multiple versions circulating. "This is version 3 from April 15th" instead of "which map are we looking at?"

Export includes measurements and annotations: All measurements you added to map (distances between zones, area calculations, equipment dimensions) automatically included in exports. Annotations and notes visible in appropriate contexts (crew notes included in crew version, client notes included in client version). Eliminates need to manually add this information to exported files. Measurements useful for permits showing compliance with safety regulations (emergency access width, spacing between structures, capacity calculations).

Optimized file sizes for sharing: PDF exports typically 1-3MB even for complex festival sites with hundreds of elements. Small enough for email attachment anywhere in world. Loads quickly even on slow mobile connections. PNG/JPG exports similarly optimized - high quality but reasonable file sizes. Balance between quality and practicality. Compare to unoptimized exports from CAD software which can be 20-50MB and bounce from email systems or take minutes to download.

Multiple exports from same map: Keep single master map as your working document. Export as PDF for permits, PNG for client presentation, JPG for social media announcement, interactive link for crew, and QR code for vendors - all from same source map. Changes to master map propagate to all exports on next generation. Eliminates maintaining multiple separate files that drift out of sync. Single source of truth with multiple output formats.

How Festival Organizers Use Map Export

Festival site planning requires sharing maps with dozens of stakeholders - council for permits, emergency services for safety approval, vendors for pitch allocation, crew for setup instructions, volunteers for event day reference. Export functionality handles all these needs:

Typical festival event export workflow:

Week 12 before event - Initial permit application:

  1. Create preliminary site map in GoodEvent Maps
  2. Export as PDF with scale legends and measurements
  3. Include in council permit application showing compliance with regulations
  4. PDF includes branded header with festival name and organizer contact details
  5. Council approves based on professional documentation

Week 10 - Vendor allocation:

  1. Update map with numbered vendor pitches
  2. Export individual zone maps for different vendor areas (food court, craft area, main vendors)
  3. Each vendor receives PDF showing their specific pitch location and dimensions
  4. Include QR code in vendor pack that opens interactive map - they can see full festival context
  5. Vendors reference map when planning their setup

Week 8 - Emergency services coordination:

  1. Create specific export showing emergency vehicle access routes
  2. Include layer showing assembly points, medical posts, fire equipment locations
  3. Export as PDF with distance measurements showing compliance with emergency service requirements
  4. Share with fire service, ambulance service, police for approval
  5. Required documentation for event license

Week 4 - Crew training:

  1. Export zone-specific maps for different crew teams (stage crew gets stage area, toilet crew gets facility locations, bar crew gets drinks areas)
  2. Include QR codes in crew briefing documents
  3. Crew scans code and saves map to phone for reference during setup
  4. Interactive maps allow zooming to see specific details on-site

Week 1 - Setup begins:

  1. Print large format A0 maps for crew briefing area at site office
  2. Cost: £80 for two large prints (compare to £500+ from professional printer for designed version)
  3. Crew references printed overview, then uses phone for specific detail access
  4. Update map daily as setup progresses - mark completed sections
  5. Export updated PDF each evening showing progress - management sees current status

Event day:

  1. Volunteers given link to interactive map showing volunteer meeting points, break areas, and information desks
  2. Security team uses map showing entry/exit gates and patrol routes
  3. Vendors reference map for delivery access times and routes
  4. All stakeholders working from same current map

Post-event:

  1. Export final "as-built" version showing actual layout (updated based on field changes)
  2. PDF archived with event documentation for next year reference
  3. Version from this year becomes starting template for next year

Total export costs for festival: £80 for large format printing (optional). Designer costs £0 (self-created maps). Revision costs £0 (update yourself). Print shop visits: 1 instead of 5-8. Time saved: 20-30 hours of coordination and revision management. Money saved: £1,500-3,000 compared to traditional professional map creation.

How Corporate Event Companies Use Map Export

Corporate event production companies need professional presentation-quality maps for client pitches, vendor coordination, and on-site execution. Export functionality supports entire workflow:

Typical corporate event export scenario:

Initial client pitch:

  1. Create proposed site layout for client\'s company fun day
  2. Export as high-resolution PNG for PowerPoint presentation
  3. Map shows activity zones, catering areas, registration, parking, and branding locations
  4. Professional branded export reinforces your company credibility
  5. Client approves concept based on visual clarity

Detailed planning phase:

  1. Update map with specific equipment placements
  2. Export PDF with measurements for venue approval (showing compliance with venue rules)
  3. Generate shareable link for client stakeholders to review and comment
  4. Multiple departments (marketing, HR, facilities) access same map
  5. Incorporate feedback and export revised version

Vendor coordination:

  1. Export zone-specific maps for different vendors (catering map, AV map, furniture map)
  2. Each vendor receives only relevant section showing their equipment
  3. Include QR code linking to full interactive map if they need context
  4. Vendors plan their setup without constantly calling you for clarification

Site setup:

  1. Export PDF formatted for A3 printing on office printer
  2. Print 10 copies for crew briefing - cost £2 in paper and ink vs £400 from print shop
  3. Site manager has printed reference, crew has interactive links on phones
  4. Crew places equipment accurately first time - no repositioning required

Client sign-off:

  1. Export final branded PDF showing completed layout
  2. Include in event deliverables as professional documentation
  3. Client uses map for future event planning reference
  4. Your branding on map ensures they remember who delivered great event

Annual recurring event:

  1. Next year, open previous year\'s map as starting point
  2. Make updates for new requirements
  3. Export updated versions to all stakeholders
  4. Time from last year\'s event to this year\'s map: 30 minutes instead of starting from scratch

Corporate clients value professional presentation. High-quality exports from GoodEvent Maps provide that professionalism at fraction of traditional cost.

Jodie from Sami Tipi on client presentation quality:

"Thanks to GoodEvent we can send absolutely stunning quotes and give our customers an unbeatable service."

Same principle applies to site maps - professional exports create confident clients.

Common Map Export Mistakes Event Companies Make

Even when using export tools, event businesses often make these mistakes that reduce effectiveness:

Mistake 1: Exporting too early in planning process
You create initial site concept, immediately export and share with 15 stakeholders. Then realize you need to change staging location. Now you need to re-export and re-send to everyone with "please ignore previous version" message. Causes confusion and looks unprofessional. Solution: Use shareable interactive links during planning phase - they automatically show current version without resharing. Only export static PDFs once layout is confirmed.

Mistake 2: Not including scale legends on permit applications
You export beautiful site map as image and submit with permit application. Council rejects because no scale legend proving measurements. You need to recreate export with scale, resubmit, wait another 2-4 weeks for review. Delays entire event. Solution: Always export as PDF for formal documentation - automatically includes scale legends and measurements meeting regulatory requirements.

Mistake 3: Exporting entire site map when zone-specific makes more sense
You print one giant map showing entire festival site and give copies to all crew teams. Stage crew has to find their small section among entire site layout. Food vendor crew confused by infrastructure details irrelevant to them. Information overload causes errors. Solution: Export zone-specific maps. Stage crew gets stage area only. Vendors get vendor village only. Each team sees relevant information clearly.

Mistake 4: Using lowest quality export to save file size
Worried about email attachment size, you export low-resolution JPG. Looks fine on screen. Print it and text is blurry, measurements unreadable. Crew on-site can\'t read important details. Setup errors result. Solution: PDF exports are optimized - small file size but high quality. Use PDF for printing. Use interactive links for digital sharing (no file size at all).

Mistake 5: Not adding branding to exports
You export site map as generic image. Client forwards it to venue. Venue coordinator sees map but doesn\'t know who created it. Has questions but no contact information visible. Missed opportunity to reinforce your professionalism. Solution: Configure branding once in account settings - automatically appears on all exports. Logo, company name, contact details included.

Mistake 6: Sending static PDFs when interactive links better serve purpose
You email PDF to crew teams. They save to phones. Week later you make changes. Need to email new PDF. Crew now has two versions on phone - which is current? Confusion. Solution: Share interactive links with crew instead of PDFs. Update map once, link always shows current version. Use PDFs only for formal documentation that shouldn\'t change (permit applications, contracts).

Mistake 7: Printing more copies than needed
Uncertain how many printed maps you\'ll need, you print 50 copies. Use 12. Waste 38 prints at £3 each = £114 wasted. Plus environmental waste. Solution: Print fewer physical copies. Share interactive links that everyone accesses on phones. Print only for specific needs (crew briefing area, site office, emergency services hard copy).

Mistake 8: Not organizing exported files properly
You export maps throughout planning process. Files named "site-map-1.pdf", "site-map-final.pdf", "site-map-FINAL-v2.pdf". Three months later you don\'t know which version was actually used. No organization. Solution: Exports automatically include date and version number. Save in organized folder structure by event and date. Easy to find correct version later.

Proper export practices save time, money, and reduce errors throughout event lifecycle.

Why GoodEvent Maps Export is Different

Built for Event Industry from Day One

Generic export tools (Google Maps screenshot, CAD software export, graphic design program export) weren\'t designed for event site planning needs. They create files but don\'t understand event workflows:

  • Permit compliance: Authorities require scale legends, measurements, north arrows, access route marking. Generic exports don\'t include these automatically. GoodEvent Maps exports PDF with all required elements for UK and international permit applications.

  • Multi-stakeholder sharing: Events involve dozens of different people needing maps - crew, vendors, clients, authorities, emergency services. Each needs different format and detail level. Generic tools create one output type. GoodEvent Maps exports multiple formats from same source map with appropriate information for each audience.

  • On-site mobile access: Event crews work outdoors with phones, often in poor signal areas. Need maps that load quickly, allow zooming, and remain accessible. Generic tools create large files that won\'t download on 4G. GoodEvent Maps creates lightweight interactive links optimized for mobile viewing.

  • Professional branding: Event companies need branded documentation for client presentations and deliverables. Generic exports are unbranded or require manual addition of logos. GoodEvent Maps automatically includes your branding on all exports from settings configured once.

  • Print flexibility: Events need both large format prints for crew areas and standard A4 prints for briefing packs. Generic tools export at fixed size. GoodEvent Maps exports scale appropriately for any paper size with text remaining readable.

What Competitors Lack

Most event software either doesn\'t include site mapping at all, or provides very limited export capabilities:

  • Social Tables / Prismm: Focused on indoor floor plans for venues. Limited outdoor site mapping. Export quality suitable for presentations but not permit applications. Lacks measurement tools and scale legends.

  • AutoCAD / CAD software: Professional quality exports but requires specialist skills and expensive software (£200-300/year). Learning curve too steep for most event businesses. Overkill for simple site planning needs.

  • Generic design tools (Canva, PowerPoint): Can create visual layouts but no integration with real maps. No measurement accuracy. No scale legends. Exports are illustrations not professional site plans.

  • Google My Maps: Free mapping tool but very limited export. Screenshots only or basic KML files. No professional formatting. No branding. Not suitable for permits or professional presentations.

GoodEvent Maps combines professional export quality with ease of use and event-specific features. No CAD skills required. Free forever. Exports meet professional standards including permit requirements.

Free vs Expensive Professional Options

Traditional route for professional site map exports: hire CAD designer or event production designer to create maps. Cost: £500-2000 per map depending on complexity. Changes: £50-200 per revision. Timeline: 3-5 days for initial delivery, 2-3 days for revisions.

GoodEvent Maps route: create your own maps using Google Maps base. Cost: £0. Changes: unlimited, takes minutes. Timeline: minutes to create, seconds to export.

ROI calculation for company doing 10 events per year:

  • Traditional design costs: £5,000-20,000 annually (£500-2000 × 10 events)
  • Revision costs: £2,000-6,000 annually (average 4 revisions per event)
  • Print shop costs: £800-1,200 annually (£80-120 per event for large format)
  • Total traditional costs: £7,800-27,200 per year

GoodEvent Maps costs: £0 (free)
Office printing costs: £200-400 annually (printing multiple copies as needed)
Total GoodEvent Maps costs: £200-400 per year

Annual savings: £7,400-26,800

Those savings come from eliminating designer fees while maintaining professional quality. Plus time savings from managing everything yourself instead of coordinating with external designers.

Amy from The Marquee Hire Company on time savings from integrated tools:

"Made my life so much easier & it looks great for the customers, very professional! The online CAD has literally saved me hours per day... Very user friendly, absolutely love this system."

Same time-saving principle applies to site maps - create and export yourself instead of coordinating with designers.
